Manage Workspace Member Permissions

Learn how to change member roles between Admin and Normal permissions, and remove members from your Trello workspace.

This guide explains how to manage workspace member permissions in Trello, including changing roles between Admin and Normal levels and removing members from your workspace entirely.

Understanding Workspace Permission Levels

Trello workspaces have two main permission levels that determine what members can do:

  • Admin: Can view, create and edit workspace boards, and change settings for the workspace. Has admin rights on all boards in the workspace.
  • Normal: Can view, create, and edit workspace boards, but cannot change workspace settings.

Managing member permissions requires Trello Premium. Free workspaces have limited permission management capabilities.

Accessing Workspace Member Management

To manage workspace members, navigate to your workspace settings and select the Members section from the left sidebar. This will display the Collaborators section where you can see all workspace members and their current permission levels.

In the Collaborators section, locate the member whose permissions you want to change. Click on their current permission level button (either Normal or Admin) to open the permission options.

A tooltip or dropdown will appear showing detailed descriptions of each permission level. Take note of the differences:

  • Admin permissions include workspace settings management
  • Normal permissions focus on board-level activities

To change a member from Normal to Admin permissions, click on the Admin option. The member's permission level will update immediately, granting them full workspace administrative rights.

To reduce a member's permissions from Admin to Normal, click on their current Admin button and select Normal from the dropdown. This will remove their workspace settings access while maintaining their board editing capabilities.

Removing Members from Workspace

When you need to completely remove a member's access to the workspace, you can remove them entirely. This action removes their workspace access but preserves their participation in individual boards where they were specifically invited.

Locate the member you want to remove and click the Remove... button next to their name. This will open the removal options menu.

Click Remove from Workspace to completely remove the member's workspace access. The system will show a confirmation message explaining that:

  • All workspace access will be removed
  • The member will remain on individual boards where they were specifically invited
  • They will receive a notification about the removal

Removing a member from the workspace is immediate and cannot be undone. You'll need to invite them again if you change your mind.

Best Practices for Permission Management

  • Limit Admin permissions: Only grant Admin permissions to users who need to manage workspace settings
  • Regular review: Periodically review member permissions to ensure they align with current team roles
  • Communicate changes: Inform team members when their permissions change, especially when removing access
  • Board-level management: Remember that workspace removal doesn't affect board-specific permissions

Security Considerations

When managing workspace permissions, consider these security implications:

  • Admin members can invite new users and change other members' permissions
  • Workspace removal doesn't affect private board access that was granted directly
  • Members receive notifications when their permissions change or when they're removed
